Champions Hi Tech Private Limited builds and operates software products, including SaaS applications that integrate with the WhatsApp Business Platform provided by Meta. This page explains how to request deletion of information associated with those services, and what happens after you ask.
It sits alongside our Privacy Policy, which describes in full what we collect and why.
Never send us credentials. Do not include passwords, access tokens, API keys, one-time passcodes or payment card details in a deletion request. We do not need them, and we will never ask you for them.
1. Who can request deletion
- Business customers — organisations that hold an account with us and use one of our software products.
- Individual users — people who have a login to one of our products, whether their own or one issued by their organisation.
- Website visitors and enquirers — people who contacted us, requested a quote or subscribed to updates.
- Individuals contacted by one of our business customers — for example someone who received a WhatsApp message sent by a business through our platform. See section 7, because those records are usually controlled by that business rather than by us.
2. Option A — Email request
Send to: contact@championshitech.com
Subject line: Data Deletion Request
What to include
We need enough detail to find the right records and to be reasonably confident the request is genuine:
- the name of the product or service you use;
- the account, organisation or business name;
- the registered email address on the account;
- the registered phone number, if applicable;
- for a WhatsApp integration: the connected business phone number, and the WhatsApp Business Account ID (WABA ID) if you have it;
- what you want deleted — the entire account, one user, a specific contact or record, or just a connected integration;
- whether you are requesting for yourself or on behalf of an organisation, and your role if the latter.
Sending the request from the email address registered on the account is the fastest route, because it lets us verify you without further questions.
Sample request
Subject: Data Deletion Request
Hello,
I would like to request deletion of data associated with my
account.
Product / service: ____________
Account or business name: ____________
Registered email: ____________
Registered phone (if any): ____________
WhatsApp business number / WABA ID (if applicable): ____________
What I would like deleted: ____________
I am requesting: on my own behalf / on behalf of the organisation
Thank you,
____________
3. Option B — In your account
Where the product you use provides self-service deletion, you can start the process from inside the application without contacting us:
- Settings → Privacy / Account → Delete Account — to remove your account and its associated data.
- Settings → Integrations → Disconnect — to end a connected integration without deleting the account.
Self-service deletion is not available in every product. If you cannot find the option in the product you use, use Option A and we will handle the request for you — the outcome is the same.
4. Deleting WhatsApp integration data
If your business connected its own WhatsApp Business Account to our software through Meta's Embedded Signup, there are two separate things you may want, and they are worth requesting explicitly:
4.1 Disconnect the integration
This stops our platform from using your WhatsApp authorisation.
- In the product, where available: Settings → Integrations → WhatsApp → Disconnect
- By email: write to contact@championshitech.com with the subject WhatsApp Disconnection Request.
- From your own Meta settings: you can remove our application's access to your WhatsApp Business Account directly in your Meta Business settings, independently of us.
On disconnection we stop using the authorisation for further WhatsApp functionality and the related access tokens and integration credentials are invalidated or removed from active use. This takes effect once disconnection completes on both our side and Meta's side.
4.2 Delete the stored WhatsApp data
Disconnecting stops the integration; it does not on its own delete the records already stored in the product. If you also want those removed, say so in your request. This can cover:
- stored message history and conversation records;
- message and delivery-status logs and webhook event records;
- media and files sent or received through the integration;
- message template records held in the product;
- contact lists uploaded or synced for messaging;
- the stored WABA ID, phone number ID and connection settings.
Data held by Meta is separate. Deleting records from our platform does not delete anything held in Meta's own systems, in your WhatsApp Business Account, or on your recipients' phones. Those are governed by WhatsApp's Privacy Policy and the Meta Privacy Policy, and must be pursued through Meta.
5. How we handle your request
- We receive the request by email or through the application.
- We verify the requester where reasonably necessary, so that nobody can have someone else's data deleted. This is normally done through the registered email address.
- We identify the information covered by the request across the relevant systems, including connected integrations and stored credentials.
- We delete or anonymise that information where appropriate, and invalidate related integration credentials.
- We retain only what must legitimately remain — see section 6.
- We confirm completion where appropriate, and tell you what was retained and why.
We aim to acknowledge requests promptly and to complete verified requests within a reasonable period. If a request is complex, or if it needs a business customer's instruction first, we will tell you and keep you informed.
6. What may be retained
Deletion is not always absolute. We may need to keep limited information after a deletion request, specifically:
- Backups. Copies may persist in routine backups and disaster-recovery snapshots for a period after deletion from our live systems. They are not used for ordinary operations and are overwritten or expire as the normal backup retention cycle completes.
- Legal, tax and accounting records. Invoices, payment records and related documents that we are required to retain.
- Security and abuse records. Limited logs needed to protect the platform, investigate abuse, or establish and defend legal claims.
- Aggregated or de-identified data that no longer identifies you or your business.
Retention periods differ by product, data type and the agreement in place, so we do not publish a single universal figure. Our Privacy Policy, section 11 explains the approach in full.
7. If a business messaged you
Many of our products are used by other businesses to communicate with their own customers. If a business contacted you over WhatsApp using our software, that business — not Champions Hi Tech — decided to contact you and controls the record it holds about you.
- Contact that business directly to ask what it holds, why it contacted you, or to ask it to delete your details. It is normally identified in the message and in the WhatsApp sender profile.
- You can also stop the messages in WhatsApp itself, by replying to opt out where the business offers it, or by blocking or reporting the sender.
- You may still write to us at contact@championshitech.com. We will pass a valid request to the relevant business, act on it once they instruct us to, and tell you which is happening. If the information relates to our own processing rather than theirs, we will handle it ourselves.
